Use extensions in Gemini with a work or school Google Account

The Gemini web app can interact with other Google apps and services through extensions to provide more helpful responses to your prompts. For example, Gemini can help you:

  • Find information from Gmail 
  • Summarize documents
  • Simplify and organize information

Important: The info below is for users with a Gemini Business, Gemini Enterprise, or Gemini Education add-on. If you don’t have one of these add-ons, learn how to use extensions in Gemini Apps.

What you need

When using a work or school Google Account, extensions:
  • Are only available to work or school accounts with a Gemini Business, Gemini Enterprise, or Gemini Education add-on. If you’re using Gemini Apps with a personal account, learn how to use extensions in Gemini Apps.
  • Can only be enabled by the account’s Google Workspace administrator. If you’re a Google Workspace administrator, learn how to enable access to extensions in Gemini.

Use Google Workspace extensions

Important: Gemini can hallucinate responses or provide outdated information, like from an older email when there’s a more recent one. To check the information, click and review the sources listed after the response.

When you connect Google Workspace, you can summarize, get quick answers, and find information from apps and services like Gmail, Docs, and Drive directly in Gemini.

  1. Go to gemini.google.com.
    • Make sure you’re signed in to the same account you use with Google Workspace.
  2. In the text box at the bottom, enter @ and select the extension you want to use.
    • Tip: Enter @ and select Google Drive. In your prompt, reference content in Google Workspace using keywords from the content.
  3. Ask the Gemini web app to get information from Google Workspace.
  4. Click Submit . If the extension has been enabled by your Workspace administrator, the Gemini web app automatically uses it.

    • Find notes from the latest team meeting titled “Team Meeting June 2023” from my drive and summarize it to a short paragraph

Why can’t I connect Google Workspace

For users with a work or school Google Account, extensions are only available with a Gemini for Google Workspace add-on. To connect the Gemini web app to Google Workspace, you must have a Gemini Business, Gemini Enterprise, or Gemini Education add-on.  

Access to extensions must be enabled by your Workspace administrator. 

  • If you have a Gemini Business, Gemini Enterprise, or Gemini Education add-on, but you can’t connect to Google Workspace from the Gemini web app, contact your Workspace administrator. 
  • If you’re a Google Workspace administrator, learn how to enable access to extensions in Gemini.
Mention Gmail, Google Docs, or Google Drive in your prompt. For every new conversation, you need to ask the Gemini app to get something from your Google Workspace explicitly. You can mention Gmail or email, Docs or documents, and Drive or PDFs in your prompt. You don’t need to do this for follow up questions.

What the Gemini web app can’t do with Google Workspace

The Gemini web app can’t:

  • Access attachments, comments, or images in Docs or Gmail
  • Access folders, Shared Drives, presentations, spreadsheets, pictures, and videos in your Drive
    • This includes any content that isn’t in a document or PDF
    • To access multiple docs in a prompt, mention all of the desired files in the prompt
  • Create an email draft or delete emails in Gmail
  • Create, draft, or delete spreadsheets, PDFs, documents, and presentations
  • Manage content in your Drive, like create folders or move content between folders
  • Count items in your Drive or tell you how much Drive storage you have
  • Process and respond to large files
  • Answer prompts about Slides or Sheets
  • Answer prompts about images or comments in a document or pdf

What happens if extensions in Gemini are turned off

Important: If you’re using Gemini with a work or school account, extensions can only be turned on or off by the account’s Google Workspace administrator. 

If extensions are turned off after you have started a chat with Gemini using an extension, you will still be able to view and continue the chat. Gemini will only have continued access to the information that was needed to respond to the original prompt. Gemini won’t be able to access any additional information from Google Workspace unless extensions are turned on again.
