The Challenge:

A GLOBAL, ENTERPRISE-WIDE SOLUTION TO STANDARDIZE SHIPPING

The bank needed a solution to support parcel shipping to customers as well as inter-office and inter-campus shipping. To streamline operations and control costs, the customer wanted to consolidate inter-campus shipments within office mail rooms.

As the bank frequently ships confidential and sensitive documents, a second critical requirement was chain of custody controls for all packages. The bank required a chronological trail for each package and a record of all parties that came into contact with every inbound and outbound shipment. The chain of custody needed to offer full visibility across a package’s entire journey from shipper to receiver — from desk to desk and at every way-point, including the bank’s own mail rooms.

This included inter-office and inter-campus shipping as well as shipments to clients. The bank also required exception alerts for delayed packages.

Furthermore, the bank needed to ensure that compliance checks were done for every shipment. No parcels were to leave any location without the requisite compliance check.

A MULTILINGUAL, MULTICURRENCY SOLUTION WITH GLOBAL SUPPORT

The investment bank chose QAD GTTE for its global footprint and support, multilingual and multi-currency capabilities and worldwide carrier coverage. The bank uses QAD Desktop Shipping which offers the key capabilities needed for transportation management, trade compliance and global documentation. Additional capabilities include the following:

QAD Transportation Execution offers a global multi-carrier network with upfront consolidation, automated zone skipping for speed and cost reduction, along with production/mailroom and desktop shipping.

QAD Delivery Exception Management offers a centralized portal for inbound and outbound shipments, with chain of custody controls, full visibility, and exception alerts for proactive management.

QAD Global Trade Compliance automates shipment documentation production, eliminates customs delays and ensures that all of the documents required to complete a shipment are prepared correctly and presented to the right people at the right time and in the right format.

The investment bank deploys QAD GTTE across 35 countries and 132 sites. A pilot installation was initially implemented in London, followed by installation at the company headquarters, and rolled out across North America, European and Asia Pacific region locations respectively.

With QAD Transportation Execution, the bank was able to automate and standardize shipping processes across global locations — and at mail room and desk level.

Using the QAD GTTE workflow-enabled routing guides and the company’s own business rules, the bank can now ensure that each parcel is sent at the correct service level and that consolidation and zone skipping opportunities are not missed. As a result, the bank improved customer service, while also managing internal processes and expenses.

QAD Delivery Exception Management gives the bank chain of custody controls along with multi-carrier and global package tracking of outbound and inbound shipments. This centralized portal gives full visibility across all shipments, along with exception alerts.

This allows staff to proactively resolve problem shipments. With QAD Delivery Exception Management, the bank is able to capture and record a package’s entire journey — from the desk of the initial sender to the desk of the final recipient, if and when this granular detail is required. Furthermore, with QAD GTTE, the company gained greater post-dock visibility with a centralized portal for the tracking of all shipments, with all carriers, across all modes.

The investment bank leverages QAD Global Trade Compliance to automate shipment documentation production. This creates a uniform shipping process flow, eliminates customs delays and ensures all international shipments meet regulatory demands.

Using QAD Global Trade Compliance, the bank was able to ensure that all staff could perform due diligence when shipping parcels. Because of the QAD GTTE integrated trade and transportation solution, no package could be shipped unless a compliance check had been run. This ensured that the bank had an enterprise-wide, standardized and repeated approach to mitigate compliance violations.

QAD GTTE uses the Spring Security Framework. This allows support for a number of authentication providers. Providers available are OneLogin, LDAP, NTLM, SAML, JAAS, SiteMinder Tokens, Database, and proprietary user table. Request and response data is encrypted over the wire using secure HTTPS.

The data center is listed as a COLO in our ISO 27001 certification. In addition, QAD performs an internal audit as well as an independent audit annually. QAD is audited two times per year by an independent audit firm as part of the ISO, and CSA-Star certification requirements as well as the SSAE18 reporting. When it comes to TDE, QAD GTTE uses KMS/HSM product as this is industry standard and best practice.

QAD GTTE has utilized a secured vLAN to segment this banking customer’s environment from the rest of the Cloud environment. A Jumphost will be leveraged as the access point into this vLAN.
